We’ve been hard at work on some big projects behind the scenes, and today we’re excited to roll out a powerful new catering software feature designed to make managing your catering business easier than ever: The Notes List—a centralized way to track, filter, and manage all your notes in one place.

Plus, we’ve revamped Highlighted Notes, making it easier to keep track of important customer details when viewing a contact record or placing an order.

Introducing the Notes List: One Hub for All Your Notes

For years, CaterZen has given you the ability to add notes to contact records and tasks, helping you keep track of important client details, order preferences, and internal communications. But let’s be honest—hunting through individual contact records or digging into tasks to find specific notes was time-consuming.

Enter the Notes List.

Now, all of your notes—whether tied to a contact or a task—are in one searchable, filterable list.

No more jumping from one screen to another just to track down customer information! This builds on our CRM & Task enhancements, where we previously brought all tasks into a centralized Task List with similar filters. Now, just like you can manage tasks efficiently, you can do the same with your notes—faster and more organized than ever.

Why This is a Game-Changer for Caterers

Save Time & Stay Organized – No more clicking into individual contacts to scroll through their past notes. Now, you can filter by date range, creator/editor, associated team, contact name or company, or keywords of the subject line to instantly find what you need.

Filter Like a Pro – Looking for all the notes related to contacts from a specific company? Need to find all notes created by a sales rep? Want to see only highlighted notes? You can apply multiple filters at once to pinpoint exactly what you’re looking for.

Export for Easy Sharing – Need to share notes with your team? The Notes List lets you export everything to Excel for easy review and reporting.

Better Communication Across Teams – One of our clients was using task notes to communicate with their accounting team about customer billing after an order was placed. Before, the accountants had to manually check each contact record to find these notes. Now? A simple filter in the Notes List pulls up all relevant notes in seconds.

Edit, Delete, or Highlight Notes—Fast! – Update notes, remove outdated ones, and highlight key details right from the Notes List—no extra clicks needed.

Enhanced Highlighted Notes: More Visibility, More Control

We know Highlighted Notes are a lifeline for caterers. Whether it’s noting a client’s gluten allergy, their VIP status, or their obsession with extra sauce, these notes ensure your team always sees critical customer info when viewing a contact record:

We’ve made some major improvements:

🔹 ALL Highlighted Notes Now Stay Visible – Previously, you could highlight unlimited notes, but only the five most recent would appear. Now, every highlighted note is always visible in a scrollable box. No more losing important details as new ones get added!

🔹 Easier Editing & Un-Highlighting – Clicking a highlighted note or creating a new one no longer takes you to a separate page—it opens a pop-up right on the same screen, making edits quick and painless. When you remove a highlight, your note stays in the system, but it’s no longer emphasized.

🔹 Clearer Organization – Highlighted Notes are sorted by the most recently highlighted, so the most relevant details are always at the top. Need to refresh an older note? Just un-highlight and re-highlight—it’ll jump back to the top.

What’s Next? Sneak Peek at Our Upcoming Burq Integration!

We’re not stopping here—our next big release is an integration with Burq, a marketplace of third-party delivery service providers. If you’ve been looking for a way to expand your delivery fleet or outsource deliveries to Burq drivers, this update is for you!

You may have noticed a blue icon appearing when you’re creating a delivery order.

That’s a teaser of just how easy it will be to assign deliveries to Burq drivers—right from your order entry flow. Or, if you’ve got orders without assigned drivers, you can assign them to Burq's network of drivers directly from the Delivery Manager Route Planner, making last-minute delivery logistics a breeze.
